Job Description

We are offering a part time contract position for 6 months, working 3 days per week in our office, in a flexible work environment, built around the diversity of our team and their needs. What we are looking for 

Reporting to the Executive Assistant to the Director of People and Technology and Director of Finance you will be supporting the day-to-day management of our Pyrmont based office. You will be an adaptable and proactive Office Administrator with excellent time management skills. Collaborating with the broader Administration team, you will need to take initiative and be able to commit to working 3 days per week from the office, ideally Monday, Tuesday and Thursday

Your day will include

 

  • Supporting office management tasks, including (but not limited to) managing stationery, kitchen supplies and equipment, and overseeing cleaning services. 

  • Providing administrative support and general assistance to the UNICEF Australia team, including preparing presentations and other documentation as required. 

  • Partnering with the Administration team to induct new starters to the office by arranging building access, assigning lockers, and maintaining the staff directory. 

  • Building and maintaining cooperative relationships with building management, liaising on general maintenance, repair issues, and related requests. 

  • Coordinating and preparing team meetings and events, including arranging catering, room set-up, material preparation, and post-event clean-up. 

  • Supporting financial coordination tasks, including processing invoice payments and reconciling credit cards. 

  • Undertaking ad hoc office duties to ensure the smooth operation of the office. 

We would like you to have the following skills and experience

 

  • A minimum 12 months experience in office administration  

  • Intermediate skills in Excel, Word, Outlook and PowerPoint  

  • High attention to detail and accuracy  

  • Excellent time management and organisational skills  

  • Ability to take a pro-active approach in your work and work with minimal supervision 

  • Capable of operating at a high level and ability to multi-task under pressure 

  • A positive and energetic team member with a genuine interest in working in the international aid and development sector
